Send it the text and nothing else

From memory

Fundamentals 10

A few words is enough and nothing here is marked. If it has gone, say so and you still get the answer.

That is this lesson. Below is a text of the kind that lands at 6:50 on the first cold morning of the season, before the office opens. The customer, the firm and the equipment maker are invented. You are going to send the tool the text and nothing else: no job history, no model number, no warranty paper. First, a guess.

Guess first

You are about to send the tool a customer's text with no job file attached. Will it ask what furnace she has, or who made it, before it answers?

And how sure are you?

Nobody else sees this and nothing here is marked. Being wrong here is worth more than being right.

Paste this in, and nothing else

Reply to this customer text as the owner of the HVAC company that installed her furnace. Under 80 words, plain language, friendly.

The text. Read it once first.

Hi, it's Lena. The furnace you guys put in a couple of years ago started making a grinding noise last night and this morning there is no heat at all. House is at 58. Is this covered? Can somebody come today?

Whether the customer with the grinding furnace is covered is not in your head, it is on a warranty certificate and on your own labor warranty, and the tool has never seen either. Fifteen minutes on the check that replaces knowing.

Lesson 01 · Where the number lives

By the end you can

  • Name the one document that settles a warranty sentence, and find the line on it
  • Reply to a customer's is this covered text without saying yes or no
  • Run the Spec Check on a number or a promise you cannot vouch for from your desk

What you need

Any of the four, free tier. Nothing to upload. The job snapshot you need is on this page, and it is invented.

Read the reply the way Lena would

If it asked what furnace she has first, that is the right move and rarer than you would think, and you still have to open the paper, because the tool cannot. If it answered anyway, it wrote about a warranty it has never read, in the same voice it would use if it had. Neither reply is the answer. The answer is on two pieces of paper the tool does not have: the manufacturer's certificate and your own labor warranty.
You own what you send. In 2024 a Canadian tribunal held an airline to what its own website chatbot had told a customer about a fare. The airline argued the chatbot was a separate legal entity responsible for its own actions. The tribunal called that a remarkable submission and said it "makes no difference whether the information comes from a static page or a chatbot" (Moffatt v. Air Canada, 2024 BCCRT 149, paragraph 27). A text from your number that says this is covered is your text. Lena will not check it against a certificate she has never seen, and she should not have to. That is your job.

Open the snapshot and find the line

5m

Now the paper. Below is Lena's job as the shop holds it, cut down to what matters, and every line of it is invented: Manufacturer M does not exist and neither does the TRN-F80. Everything a real job record carries that a customer would recognize as theirs has been left off, which is lesson 2's subject.

RS-01. Residential, HVAC. Gas furnace replacement. Snapshot dated 09-2026. Equipment: Manufacturer M gas furnace, model TRN-F80. Installed by this firm 03-2024. Manufacturer warranty: parts, 10 years, registered online 04-2024. Labor not covered by Manufacturer M. Firm labor warranty: 1 year from install. Expired 03-2025. Permit: final inspection passed 04-2024. Agreement: none. Price book: D-100, diagnostic visit, 150. Open items: none.

This is the Spec Check. It is what the One-Thing Check becomes when the number or the promise is not yours to vouch for. Pick the one number or promise in the draft that would cost the most if wrong. Name the paper that settles it: the measured site, the price book line, the manufacturer's published terms, the permit, the signed scope. Open it and find the line, or send the question to whoever holds it: the supplier, the manufacturer's claims desk, the building department. Nothing leaves the shop until that is done. Do it now. The promise is whether Lena's repair is covered. The paper is the snapshot's two warranty lines, which stand in for the certificate and your own labor warranty. Read both.

Two things you can check on the open web, and should, because Manufacturer M's terms are built on them. Goodman's published warranty pages say its parts coverage runs 5 years unregistered and 10 years if the unit is registered online within 60 days of installation, with residents of California, Florida, Georgia and Quebec exempt from the registration condition. Rheem's residential water heater certificate covers labor only in the first year. Those are the real shapes: the manufacturer covers the part, for a term that depends on a registration nobody remembers doing, and the labor is yours or the customer's. Your trade's version: the electrician's panel, the roofer's shingles, the landscaper's irrigation controller, each with a manufacturer's term for the part and a separate paper for the labor. The reply must not blur the two. The claims desk decides whether the part failed. You decide that a technician is there today.

Give it the warranty and watch what it does

3m

Go back to the same chat. This time tell it the two lines you found, and watch what it does with them.

Send this in the same chat

The furnace is a Manufacturer M unit we installed in March 2024. Manufacturer M covers parts for 10 years and the unit is registered. Our own labor warranty was 1 year and expired in March 2025. Our diagnostic visit is 150. Rewrite the reply to Lena, under 80 words, plain language.

Check your own work0/4

That is the shape of the whole track. The tool writes fluently about a warranty it has never read, and just as fluently about the two lines you handed it, and neither reply routes the decision to the party that makes it. If the second draft kept the labor line and the 150 and said the claims desk decides, it passed this once, and the check is the same next time. From here on the check is not whether something is true, which you often cannot answer from the truck. It is which paper settles it, and whether you have opened it.

Where that leaves you

You found the line because this lesson handed you a snapshot with nothing on it a customer would recognize as theirs. Your real jobs are not like that. A real work order carries a name, a street address, a phone number, a gate code, a serial number and an exact invoice total, and the tool wants all of it. Lesson 2 is how a job goes into the tool with none of that.
